Yes, you can upgrade or downgrade at any time from the Billing page. Changes take effect right away: an upgrade is charged for the rest of the billing period, and a downgrade credits the unused time to your next invoice.

An AI extraction is counted each time our system automatically reads and parses a vendor document (such as a certificate of insurance, business license, or compliance form) to extract structured data fields. Manual document uploads without AI parsing do not count against your extraction limit.

There's no trial clock. The Free plan has no time limit and needs no credit card. Upgrade to Professional or Business whenever you need more.

When you mark a payment paid, CertiTrack checks the vendor's documents. If one has expired, you'll see which document and when it lapsed, and you can hold the payment or record it anyway as an override. Overrides are logged so you can see them later.

Yes. From Settings, Team, the account admin invites colleagues by email; they set a password and see the same vendors and documents. The Free plan includes 2 people, Professional 10, and Business 25. Everyone can manage vendors, documents, reminders, and payments; only the admin invites or removes people and changes company settings.

Yes. On the Vendors page, click Import and upload an Excel or CSV file, for example an export from QuickBooks, Excel, or Google Sheets. You match the columns, check a preview, and CertiTrack adds every vendor at once, within your plan's vendor limit.

In Settings, Requirements, you set which documents each vendor type must have and the minimum insurance amounts. Each vendor's page then lists every requirement as met, missing, expired, waiting for review, or below your minimum. Click Request fix and CertiTrack drafts an email naming each gap, with a secure upload link; you read it and click Send.

Yes. The free certificate of insurance checker at /coi-checker reads one certificate with no account and shows the dates, insurers, policy numbers, and limits, with flags for expired or low coverage. The file is not stored.

We email you when you reach 80% of a limit and again at 100%. You keep everything you've already added; you'll just need to upgrade before adding more.
